Okay so I have been the designated Christmas coordinator for my extended family for like 8 years now and I pride myself on being the logistics king of the holidays. I usually set up a massive Google Sheet with tabs for every person and a column for the link and a checkbox for when it is purchased. It is a tried and true system that has survived multiple weddings and baby showers too. But this year is just... weird.
We have about 12 people coming to our place in Chicago this year and I told everyone they needed to have their lists finalized and their purchases tracked by the first week of December because of all the shipping chaos lately. My total budget for the kids is around a grand so I am really trying to keep things organized so no one wastes money. But for some reason people are just ignoring the check-off system? Like my brother and my cousin literally BOTH bought the same LEGO Millennium Falcon for my nephew last week. They both swear they checked the sheet and it was blank but I suspect they just arent hitting refresh on their phones or something while they are standing in the aisle at Target.
It is the weirdest thing because these are people who have been using this sheet for years. I am getting so hyped for the party but I am also lowkey terrified that half the gifts under the tree are gonna be duplicates and we will have to spend all of January doing returns at the mall. I tried one of those fancy gift registry apps last year but my aunt is 70 and she basically had a meltdown trying to create an account so I had to go back to the basic spreadsheet.
I need a way to make it idiot-proof so two people cant possibly buy the same thing even if they are shopping at the same time. Is there a better way to sync a shared list in real-time that doesnt involve a steep learning curve or is there a specific setting in Sheets I should be using to notify me the second someone edits a cell so I can double-check it myself?
Saw this earlier. You might want to be careful with those shared permissions. Honestly, that LEGO Falcon is a beast tho. I spent a fortune on the UCS model and it basically ate my dining table for months.

It works well because the cell basically screams at them if they type a repeat gift. If you want something more hands-off, I've been really satisfied using a Christmas lists chrome extension lately. No complaints, it just works and keeps everyone synced up in real-time.
Love the spreadsheet commitment! Definitely turn on Notification Rules under the Tools menu. Its fantastic because you get an email the second someone edits a cell, so you can catch duplicates instantly! Also, tell them to use the Sheets app instead of the mobile browser for way better syncing.
