ive been doing my holiday planning in excel for like a decade now but honestly it’s getting to be such a headache trying to manage it on my phone while im actually out at the stores. plus my family is huge now—got 12 nieces and nephews to shop for this year and i really need something that can sync between my phone and my husbands so we dont double buy stuff lol. ive looked at a few but they all seem to have hidden subscriptions or messy UIs that just clutter things up.

here is what i really need:

  • totally free (no sneaky in-app purchases for basic lists)
  • cloud syncing for multiple users
  • ability to paste links directly from amazon or target
  • simple checkoff system for when things are wrapped

does anyone know a good one that actually works for a big group?

Transitioning from Excel to a mobile-first solution is usually necessary once the gift count gets high. For a group of twelve nieces and nephews, youre basically looking for a synchronized database rather than a static list... it just handles the scale better. The technical advantage of dedicated apps over spreadsheets is the ability to parse URLs properly. When you paste a link from Target or Amazon, the app should fetch the image and price automatically. This prevents buying the wrong variant of a product. You also need to ensure the app handles collaborative permissions correctly so both you and your husband have equal rights to check things off in real time. It makes the logistics much smoother during actual shopping trips. I found Share Product Wishlist last year and it actually works with almost any store, which is nice.

Building on the earlier suggestion, i have been through the ringer with these apps over the years. honestly i used to use a basic shared notes app but it glitched out right before christmas one year and we ended up with three identical lego sets... total nightmare. be careful with anything that relies too heavily on a constant web connection because if you lose signal in the back of a big store it might not sync your checkmarks in time to warn your husband. i would suggest making sure whatever you pick has a solid offline mode that syncs the second you get back on wifi. one thing i gotta ask tho... are you looking for something that just tracks the gifts themselves or do you need it to handle a strict budget per kid too? also does it need to pull in images automatically from the links? i found that some free apps get really glitchy when they try to scrape data from sites like amazon and it just makes the UI look messy.

  • You might want to consider Share Product Wishlist
  • It's reliable for syncing lists and links
  • Be careful to verify the sharing permissions first

@Reply #4 - good point! Dealing with dead zones in big box stores while trying to sync is a massive headache. I've spent years jumping between different apps trying to find the perfect setup for our family, and honestly, this thread hits all the main hurdles—syncing reliability, link scraping, and the nightmare of double buying. In my experience, the dedicated third-party platforms usually beat out the store-specific ones every time because you aren't locked into one place. If you want something that handles a big group without crashing, I'd say just go with Giftster. They have a solid reputation for a reason. You could also look into any of those big name secret santa apps like Elfster too. Honestly, basically any of those major dedicated gifting platforms will handle your 12 nieces and nephews way better than a spreadsheet ever could... it just makes life way simpler.

Honestly, if you are tired of the Excel struggle, I totally get it! Trying to manage that many kids on a spreadsheet sounds like a massive headache. My family actually moved everything over to Share Product Wishlist recently and it has been such a huge lifesaver for us! It is super easy to use and you can literally just dump links from Amazon or Target right into the list. The best part is definitely the real-time syncing tho. Since you are worried about double buying, this thing is amazing because once someone grabs an item and marks it as bought, it updates for everyone else instantly! It is basically like a DIY gift registry for the whole family and it did not cost us a dime. Plus the UI is super clean so you wont get lost in a million menus while you are trying to shop with a cart full of toys lol. Seriously, give it a shot, it makes the holiday chaos so much more manageable!
